Glossary of Terms

You will frequently encounter the following terms throughout your LoopSpark platform. It’s important to familiarize yourself with the how these are defined by LoopSpark as some of the words are used differently throughout platforms you may be using.


Absent - Absent is a data point for clients who signedup for a group class or private/appointment, but did not attend. Absent will only be marked for if the client was not marked as early cancel, late cancel, and did not attend a class or appointment they were signed up to attend.

Active Client - An "active" client is defined by a client marked as "active" in your booking software. The status of "active" vs "inactive" for a client is a data point passed to LoopSpark from your booking software. Some booking softwares (example: MINDBODY) will define a client as "inactive" if they have not attended your business for a certain length of time, or if you manually flag the client as "inactive" directly through your booking software. A client being marked as Active vs Inactive does not imply the client's membership status, frequency of recent visits, and cannot be manipulated from LoopSpark. Please contact your booking software to learn more about how you can manage the "active" vs "inactive" status of a client, if this is available on your booking software.

Appointment - Appointments are private sessions. If your studio offers group classes AND private sessions, you will want to use the Booking Event Type filters to create audiences related to private sessions, and merge tags for appointments to pass information about client appointments through the available merge tags in the automation builder.

Club Count - Club Count is the total number of attended group classes and appointments for a client. If you celebrate client milestones, please keep in mind Club Count will account for all attended private sessions (appointments) and group classes.

Contract - Contracts are often called "memberships" depending on the booking software your business uses. A contract is a membership type that creates monthly recurring packages, either indefinitely (contracts that roll over month-to-month or year-to-year until cancelled) or on a set time interval (example: 12 month unlimited contract). A contract will create a new package each month until the contract is terminated (example: 12 month unlimited contract will create a package each month, where the package might be called "Unlimited Classes").

Distance - Distance is the mileage a client lives from your business location. For business located in the United States, we calculate the distance between a client's address and your business address. Please keep in mind this filter will only work if the client has provided their full home address, and you have the client's most updated home address.

Early Cancel - Early Cancel is a data point provided by your booking software. Some booking softwares (MINDBODY Online included) have a few dispositions for cancellations. An early cancellation is a cancellation of a class or private session, where the client cancelled within the timeframe to avoid cancellation charges. If your studio charges for non shows or late cancellations, you'll want to use the filters for "Late Cancel" or "Absent" to trigger automations around late cancellation or no show clients.

First Visit - First Visit is a calculation made by LoopSpark to flag the date and time of a client's first attended group class.

Important

This filter cannot be added in the same rule group as any other filter except Booking Event Start Date(example: adding the filter Booking First = attended + Booking Event Start Date = Today Booking Event Staff = Jessica] will not create a segment for clients who attended their event class with Jessica today).

Home Location - Home Location is a data point that is created directly through your booking software. For multi-unit owners, the "Home Location" of a user can be defined directly through your booking software (example - MINDBODY Online) to determine the client's preferred location.

Inactive Client - An "inactive" client is defined by a client marked as "inactive" in your booking software. The status of "active" vs "inactive" for a client is a data point passed to LoopSpark from your booking software. Some booking softwares (example: MINDBODY) will define a client as "inactive" if they have not attended your business for a certain length of time, or if you manually flag the client as "inactive" directly through your booking software. A client being marked as Active vs Inactive does not imply the client's membership status, frequency of recent visits, and cannot be manipulated from LoopSpark. Please contact your booking software to learn more about how you can manage the "active" vs "inactive" status of a client, if this is available on your booking software.

Late Cancel - Late Cancel is a data point provided by your booking software. Some booking softwares (MINDBODY Online included) have a few dispositions for cancellations. A late cancellation is a cancellation of a class or private session, where the client did NOT cancel within the allowed timeframe to avoid late cancellation charges, and have been marked as "Late Cancel" through the booking software for that group class or private/appointment.

Lead - A “lead” is a contact that does not exist in your booking software. Leads can be contacts you gather from a lead capture form, Facebook Leads ad, pop-up event etc. Adding a lead to your LoopSpark account will enable you to communicate with contacts that have not created an account on your booking platform. Once LoopSpark matches a lead’s email address with any client in your booking software, we will merge the lead profile with the client profile, so communications moving forward for this contact will be handled through their client profile.

Package - Packages are credits purchased by a client in order to attend classes or private appointments at your business. Packages can be created by the purchase of a package (example: 10 class pack), or by a monthly recurring contract (example: Unlimited Monthly Membership).

Package Used Count - Package used count considers the number of times a package has been used to book group classes or private sessions. Please keep in mind the Package Used Count will also take into consideration future events using that package, and will consider historic sign ups using this package even if the client did not attend the event. If you want to create a filter based on the number of events a client attended using a specific package, you'll want to use the filter "Visit using package." (example: Booking Using Package = "intro month" + Booking Count = 3 + Booking Status = attended will return clients who used the package called "intro month" 3 times to attend an event.

Period Count - Period Count is similar to Club Count; however, the Club Count will reset on a rolling basis of your choice (example - if your business rewards clients for the total number of attended events each year, Period Count is your solution!).

Product - Products are items sold at your business that are not packages or contracts. Products could include physical items like water, apparel, supplements etc, or gift cards / monetary credit).
